Two definitions:
The main screen is divided into two areas, the buttons and operational information area. The buttons area of the screen has a number of icons (buttons) on the top. The buttons most used are on the left hand side. The least used are on the right and depending on the size of your display, it may be necassary to scroll to the right to see all of them. In the middle of the buttons area is a small arrow. A description of what the button does is displayed above the arrow. The same icons that is displayed on the screen of the device is displayed below on this webpage. A short description of what the button does, is given. If you need more information, you can click on the icon to take you to a web page with more information. On the bottom part of the screen of the device is the operational information. The first item is the GPS Status. Here you can see if the GPS is locked on or not. The second line is the last "GPS Position" located. "Status" shows things like "Valid Location" or "Searching". It is self explanatory. Below the status line is the Client name and the client Position. When you are at a valid location a counter will start and show the Time at Client, that is the time you are at this location. Below the Time is the current vehicle's Odometer reading. The distance your vehicle move is calculated as you travel along. It is not a 100% accurate. If you walk around with your phone, the distance will also be calculated and accumulated. You have many options available to correct the odometer e.g. when saving a visit.

Save the work done during this visit This button is used to save information about a visit. If you are not at a valid location and the application has not locked onto that location, you will not be able to enter data. | |
End this Visit, create new Visit at other client At some locations, you may have more than one client and you may be visiting both of these clients. The application will not know which of these clients you are visiting. With the next button, you will be able to select which of these clients you are visiting first and with this button you can end the visit with one client and start the visit for the next client. | |
Change the client name for this visit With this button you can change the current selected client for another. (This will change the client info in the database for the current Visit.) | |
Show Visits (today) or on other dates You can view visits (and a few other things). | |
Additional work done for a client You may need to add a "visit" when you were not actually at the client. (Telephone support for instance) | |
Fix times and work done for a client If a visit was not recorded properly, you can use this button to go and fix the record in the database. A "fixed" record will not be deleted, but will be marked as changed and a new record added. Also when more than one record was created for a visit, the records can be merged into one. The old records are not deleted but just marked as merged, and a new database record is created with the combined information of the merged records. | |
Add Waypoint (The current location) With this you can add a new location (client position pair) to your database. You must have a GPS fix to do this. | |
Fix waypoint position or Name You can fix locations (waypoints/client position pairs) that were created with the previous button. In reality, this function is not very useful. It is usefull to change the name or position of a client, but to change the coordinated is difficult. It is better to export all your waypoints and use a program like Google earth to adjust the coordinates. Also you can export your locations to a CSV file and use an editor to adjust names and positions on a big scale. If any locations is changed, the recorded visits will not be affected. | |
Add or display a note You can add notes about clients, like to-do lists etc. This is just a convenience function. | |
Add or update client info Here you can add more information about a client. This information is mostly used in the generation of reports. | |
Add, Change or select Vehicle Information about the vehicles you use to visit your clients. When you change vehicles, you use this function to select the vehicle. This is used later in the generation of tax reports. | |
Setup: Change operational parametersVarious pieces of information are required to customise the application for you. | |
Backup Restore and Report Here you can backup, restore, upload, download and generate reports. It is imperative to read here how to do this. | |
Vehicle cost incurred If you incurred any type of cost on the vehicle you are using, you can enter it here. | |
Exit the program completely This will exit the program completely and no recording will take place. (Pressing the back button will make the main screen of this program disappear, but the program will still be running in the background.) | |

After the waypoint is saved, the application will immediately recognise the waypoint and start the 30 second fix countdown. After the 30 second countdown, the location will be marked as stable and the location will be saved in the database. The default size of a location is 80m. As long as you move in this radius, the location will stay stable. The moment you move outside this radius, a countdown timer will start. If you move back within this radius, the countdown timer will reset. If you are outside this radius for more than 60 seconds, you are then considered to have left the location. The departure time will then be recorded in the database.
Any number of waypoints can be saved for this client and position. Depending on the size of the building, the entrances and exists and the places you may dwell on the outside, you can record the waypoints. Sometimes a GPS may even pick up a signal inside a building so this point must also be recorded. I found that a signal can be found close to a window. If you do not record all these points, more than one record will be crated for the visit. (This can be fixed.)
Before leaving the location, you have the option of tapping the save icon to record details of your visit. What you fill in here in entirely up to you. There is a description field and a goods field. Normally this will be used to describe what was done during the visit to this client and the equipment used in the process. Then there is the odometer field that is used to record the odometer reading of your vehicle. (Mileage) The odometer is automatically calculated as the vehicle is moving. In theory, the odometer field will be correct. This can be used to correct the reading if it is wrong. During the course of the visit, you can record information as you go along. Every time you click on the save button, you will see the previous information recorded and then you can add to it.
At any time you can tap on the show "Show Visits" icon. A dialog will present itself where you can select the start and end date for this on screen report. For convenience sake the current date is filled in on both the start and end date. Select the dates and tap OK. A list off all the visits for the dates selected will appear. All the information about the visit will be displayed. The client name, the position, start date/time, end date /time, description, goods and the odometer reading.
